We are pleased to see your interest in our company as well as our products or services. We would like you to feel safe when you visit our websites, also in view of the protection of your personal data, as we take the protection of your personal data very seriously. Compliance with the provisions of the General Data Protection Regulation (GDPR) is a matter of course for us. We want you to know when we collect what data and how we use them. What is personal data?

Purposes and legal bases for the processing of personal data

a) Cases allowed by law
In cases where hardware or software, any service or other work desired is provided by xSuite Group GmbH, xSuite uses the data made available in the contract, the order or acceptance form or, for example, by email (e.g. name, email address, telephone number, name and address of your business, bank details, etc.). These data are used exclusively to perform and/or make available the service desired in each case. This also comprises the necessary steps prior to the conclusion of the contract, the answering of questions in that connection, for example also processing or provision of customer feedback, support inquiries, other contents, learning programs, training and events by xSuite as well as access thereto.

Any marketing communication (such as emails and telephone calls with advertising contents) is effected by xSuite – insofar as that is required by law – on the basis of your consent, combined with the possibility for you to object here at any time to this kind of communication with us.

xSuite can within the framework of an existing business relationship between you and xSuite inform you - to the extent allowed by local law - about xSuite products or services (such as, for example, events, seminars or webinars) similar to the products and/or services which you have already acquired from xSuite and/or are using or which are connected with them. If you have participated in an event, a seminar or webinar of xSuite or have acquired products or services from xSuite, xSuite can also contact you to obtain feedback from you in view of improving these products or services.

You can object at any time here to the use of your personal data for the purposes described above. In this case, xSuite will discontinue the use of your personal data for the purposes pursued on the basis of a legitimate interest of xSuite and will remove these data from its systems, unless xSuite is allowed to use these personal data for another purpose set out in this Privacy Policy or xSuite provably has a compelling legitimate interest in the further processing of your personal data.

b) Consent
xSuite will use your personal data in cases other than those allowed by law only if you first give your prior consent to processing in each case, for example by stating your name, your email address and postal address, your telephone number, your job title and basic information about your company to keep you informed about current product announcements and other information regarding software and services of xSuite (including by means of marketing-related newsletters) and about events of xSuite, and to display relevant contents on the websites of xSuite.
 
You can at any time revoke your consent given within the framework of this Privacy Policy here. In case of revocation, there will be no further processing of your personal data which your consent applied to, unless xSuite is obliged by law to continue processing. Should xSuite be required by law to keep your personal data, the further processing of your personal data will be limited accordingly and the data will be stored only for the data retention period stipulated by law. The revocation has no effect on any processing of your personal data by xSuite in the past up to the time of revocation.

General remarks on social media/bookmarks

So-called bookmarks (e.g. for Facebook, Twitter, Xing, etc.) are integrated into our website. Feature requests

xSuite offers the possibility of submitting product requests (feature requests) to improve its software solutions on the application level. For this purpose name, e-mail address and company are requested. These data are used by xSuite to contact you in order to ask questions or give other feedback.
The legal basis for the processing is Art. 6 para. 1 lit. a,b GDPR. Your contact data will only be used to establish contact and will be deleted after six months at the latest.
 
Data Protection in the Application Process

The protection of personal data is of great importance to us. We handle the data you have provided to us in accordance with the legal provisions of Germany, in particular those of the General Data Protection Regulation (GDPR) and those of the Federal Data Protection Act (BDSG).

1. Application information
As part of the application process, we collect different kinds of information. In particular, this includes contact information contained in your personal data, such as name, address, date of birth, telephone number, e-mail address, and a description of your education, work experience and skills; your certificates; and cover letters. This information will be processed electronically if you have sent us your application materials online through the application form on our website, by e-mail, or through other electronic means.

In submitting your application, you assure us that the information you provide is true and correct. Please note that any false statement or deliberate omission may constitute grounds for rejection or subsequent dismissal.

2. Collection, processing, use, and disclosure of your data
Personal data will only be collected, stored, processed and used for purposes related to your interest in current or future employment at our company and the processing of your application. This data is used to contact you about your application.

If your application is successful, the data provided may be used for administrative purposes within the scope of employment.

Only the relevant contact persons at our company will have knowledge of and process your application. All employees entrusted with the data processing are obligated to retain the confidentiality of your data. Under no circumstances will third parties receive knowledge of your details.

Your data will be collected for the purposes of filling vacancies throughout the group of companies (xSuite Group GmbH, xSuite Benelux B.V., xSuite CEE s.r.o, xSuite División Iberia S.L., xSuite Scandinavia ApS, xSuite Consulting ASIA Pte. Ltd.; xSuite Solutions Inc.). By entering your data, you agree—where necessary—to the use of your data in all companies affiliated with the company under group law.

We also cooperate with external personnel consultancies that recommend suitable candidates either with or without our commissioning and send us application materials.

3. Legal basis
We process personal data on the basis of Art. 6 (1) lit. a,b GDPR.

4. Storage
If we are unable to offer you employment, we will retain the data received from you for up to six months for the purposes of answering questions relating to your application and rejection. Your documents will only be retained for a longer period of time if you have expressly consented to this.

5. Deletion of data, revocation of consent
You have the right at any time to request more detailed information on your stored data, to inspect this data and to demand that incorrect or inapplicable data related to you be corrected or that the data stored be deleted in whole or in part.

You are entitled to revoke your consent at any time, effective for the future. The data concerned will then be deleted immediately. In this case, please send your revocation stating your full name and your e-mail address to karriere@xsuite.com.
 
Use of HubSpot

xSuite also uses the marketing software HubSpot, which is operated by HubSpot Germany GmbH, Unter den Linden 26, 10117 Berlin, Germany, for marketing purposes. Information that you provide to us for marketing purposes is transmitted to HubSpot. For this purpose, we aggregate within Hubspot personal data that we receive through our web analytics tools listed above or that you have voluntarily provided to us as part of the above data processing procedures, such as when you register for a webinar. The collected data are used by xSuite exclusively for marketing purposes (pricing, sales promotion measures, choice of distribution channels).   Amendments of the Privacy Policy

We reserve the right to amend our safety and data protection rules insofar as that may be necessary because of technical developments. In these cases, we will also amend our privacy statement. Please always observe the most recent version of our Privacy Policy.
 

Right to information and to object
You can at any time obtain information about the data concerning you that we have stored and you can demand the correction, the deletion or the limitation of the processing of these personal data. However, xSuite can delete your personal data or restrict their use only if there is no legal obligation to retain or use the data in the context concerned and if xSuite cannot assert a prior right regarding the retention or context-related use of these data.
